How to Use Add Ons

Supported Add-On's

Add-On's are connections from your Pruvan account to other products/services. You can use Add-On's to communicate with external systems or perform custom actions based on events that occur in your Pruvan account.

Add-Ons are categorized by type; for instance, Storage Add-Ons like Dropbox. To use an Add-On, read the documentation to determine if it is a good fit.  If you determine a particular Add-On is fit for your needs, click on it's icon and complete the steps needed to link it to your account.  Add-Ons are accessible by Admin users in the Account menu.

Customer Specific Add-On's

Add-On's use the Pruvan API (application program interface) and event system to trigger actions in other external systems.  Pruvan has supported API's and events that allow you to work with Pruvan to create your own custom Add-On. If you are interested in working with Pruvan to create your own custom Add-On please contact Pruvan support for details.

Storage

  • Dropbox
  • Google Drive
  • Pruvan Downloader

Dropbox and Google Drive are storage Add-Ons.  They will let you link your Pruvan account to your cloud storage accounts.  Any items (photos, surveys, etc) that are published to the Downloader will also be relayed to your cloud storage Add On as long as the Add-On is active.

Storage Add-On's require a premium features (paid subscription) that allows relay/download of items, photos and results from Your Pruvan account.

Each account is allowed up to 3 paths per storage account and up to 2 different storage accounts per storage Add-On.  This will allow you to have multiple copies of each item in your storage account if you wish.  Items will be saved in a "Pruvan" base folder and then in a series of sub-folders as determined by your path. The folder path for storage Add-Ons works the same way as it does for the Downloader. Any failures will be automatically retried.  If there are any failures that require action on your part an alert will be sent to your Pruvan account.  Any failures that cause the Add On connection to fail permanently will temporarily disable your Add-On until you fix the issue.  After the issue has been fixed, open the Add-On and click the 'Save' button to re-enable it.

How to Create a New Storage Add-On (Google Drive and Dropbox)

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the Storage Add On you would like to set up
  4. Click Add Account
    • Log in to your cloud storage account, if needed
  5. Accept the authorization request
  6. Click Add Path
  7. Use the '+' button to add sub-folder levels as needed
    • Select the folder type from the dropdown or enter a name for a static folder name (one that doesn't change)
  8. Click Save
  9. Click Save

How to Disable / Enable a Storage Add-On

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the storage Add-On you would like to enable / disable
  4. Click the slider icon next to the account you would like to enable / disable
  5. Click Save

How to Remove a Storage Add-On Account

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the storage Add-On you would like to remove
  4. Click the 'Remove Account' button next to the account you would like to remove
    • To cancel, click Undo
  5. Click Save

Financial Addons

  • Quickbooks

The QuickBooks Add-On allows users to synchronize the management of the financial aspects of their workflow between Pruvan and QuickBooks in a seamless manner. After linking your Pruvan account to Quickbooks, you can sync data between the two accounts as well as create invoices in Pruvan and send them to Quickbooks.

How to Create a Quickbooks Addon

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the Quickbooks icon
  4. Click the plus + button to add your account
    • This will direct your to log in to your Quickbooks account
  5. Sign in and approve the authorization request
  6. Update the settings for how Pruvan will interact with Quickbooks. Hover over the "i" for more information on each.
  7. Click Save
  8. If you want to sync your Pruvan and Quickbooks data, go to the Customers and Products and Services pages in your Pruvan Online account and click the "Sync With Quickbooks" buttons.

How to Disable / Enable a Quickbooks Addon

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the QuickBooks icon
  4. Click the slider icon next to the account you would like to enable / disable
  5. Click Save

How to Remove a Quickbooks Add-On Account

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the Quickbooks Icon
  4. Click the 'Remove Account' button next to the account you would like to remove
    • To cancel, click Undo
  5. Click Save

Workorder Management Systems (WMS)

  • Custom Implementation - Webhooks

A Work Order Management System (WMS) or job costing/account tool is used by many vendors to assign jobs, keep track of job status, cost, price, profitability, invoice customers and pay employees and contractors.

  • Pruvan WMS Add-Ons will let you link up your Pruvan account to your WMS account (PPW for example) so that orders created in Pruvan will also be created (echoed) into your WMS. Project assignment in Pruvan will send "who to pay" to your payroll/accounting system.  Project completion in Pruvan will send "who to invoice" to your client billing/accounting system.
  • Using a WMS Add-On does not require Pruvan premium features (paid subscription), as long as the WMS Add-On does not echo/relay photos/field items to the WMS system.  Echo of photos/field items collected by Pruvan to the WMS is typically not required.
  • A Sponsored Integration will always relay photos to a configured Sponsored Named Integration and does not required Pruvan premium features.  Premium features are required to download photos/items from your Pruvan account. See this article for details
  • Pruvan can work with you to create a custom Add-On to meet your specific requirements.

How to Create a New WMS Add-On

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the WMS Add-On you would like to set up
  4. Click Add Account or +
  5. Configure your Add-On
  6. Click Save

How to Remove a WMS Add-On Account

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the WMS Add-On you would like to remove
  4. Click the 'Remove' button
    • To cancel, click Undo
  5. Click Save

PPW Add-On Configuration (contact Pruvan for assistance)

In order to link up your PPW account successfully, you will need to log in to the PPW Add-On with a PPW user that has full admin access to PPW.  If your user is not able to create orders, view the client company list, view the work type list, or view the users list then the Add On will not work properly.

After the Add-On is set up projects created in Pruvan will be created in PPW. After creation the only time the work order in PPW will be updated by Pruvan is if the Assigned To or Coordinator fields are changed.  Then those changes will be reflected in the Contractor and Assigned Admin fields in PPW, respectively. Changes made in PPW will not reflect back to Pruvan through this Add On.

If your PPW account has the "Allow Duplicate Work Order Numbers" option disabled (in Admin > Settings) you may experience issues if a project in Pruvan has the same Project Number as an existing Work Order Number in PPW.

Photos taken on projects can be relayed to PPW, with a subscription, when published to the Downloader (a la a Storage Add On).  They will appear in the linked PPW Work Order as 'unflagged'.

When using a PPW integration to Pruvan note that orders created in Pruvan by the PPW integration will not duplicate back to PPW via this Add On and orders created in PPW by this Add On will not be duplicated in Pruvan through the PPW Integration.

How to Configure the PPW Add-On

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the PPW Add-On you would like to configure
  4. Set the Default Work Type
    • This will be the Work Type set on all work orders in PPW
  5. Set the Default Client Code
    • This will the the default Client Company set on all work orders in PPW when another Client Company is not mapped
  6. Map Client Codes to Client Companies
    • These mappings will let you override the default Client Company with Client Companies that match up to your Pruvan Client Codes.
    • To create a Client Code in Pruvan for your Client Companies that don't have integrations; create Client Portal integrations for them
  7. Map your Pruvan Subusers to your PPW Contractors
  8. Map your Pruvan Staff Users to your PPW Assigned Admins
  9. Click Save

Webhooks Configuration

Pruvan webhooks can be used to let another system know when certain events have taken place in your Pruvan account.  Currently these are when a project is created, when a project is updated, and when a photo or other item is published.  When a watched event happens Pruvan will send the other system information related to that event that can be used to assist with automation processes.  For more technical information on Webhooks please see our developer article.

How to Configure the Webhooks Add-On

  1. Log in to Pruvan Online
  2. Click the AddOns button in the top right corner
  3. Click the Webhooks Add-On you would like to configure
  4. Click the Event Title (ie Work Order Created) of the Webhook you would like to configure
    • Click the plus button to create a new webhook
  5. Select the event you would like to watch
    • Work Order Created
    • Work Order Updated
    • Item Published
      • To send the file as well as the item data check the Include File checkbox
  6. Enter the URL for the system we should send the event information to
    • This URL must support TLS (https)
  7. Select your authentication type (if needed)
    • Basic Auth (username / password)
    • Bearer Token
  8. If the system allows test calls, click the test button to validate
  9. Repeat for any other events you would like to watch
  10. Click Save
