Getting Started with Employees and SubContractors

The Resources menu has pages where you can enter your Employee and Subcontractor information and associate them with users in your Pruvan account. If you use the QuickBooks Addon, you can also sync your QuickBooks and Pruvan data to prevent the need for duplicate entry.

 

 

Employees

Click the Employees link under the Resources section of the main menu to access this page. Here you will see a list of all of your saved Employees, along with the options to add new Employees and edit your existing Employees. 

 

Create a New Employee

To create an Employee in Pruvan, click the New button on the Employees page.

  • First Name - The three name fields will combine to make the default Display Name for an Employee. 
  • Middle Name
  • Last Name
  • Status - Active/Inactive. Inactive employees will be hidden by default
  • Display Name - This is a Required Field. This is the name that will show under any menu associated with the Employee, and will be the display name sent to QuickBooks if using the addon. You cannot have multiple Employees with the same Display Name. An Employee cannot share the same Display Name as a Subcontractor.
  • Phone - Enter the phone number for the user in your preferred format
  • Email 
  • Net Terms - Choose the default Net Terms associated with this Employee
  • Address
  • Associated Subuser - Choose the Employee's Pruvan subuser name. If you don't have a subuser created for this employee yet, you can click Create New to open a window where you can enter their user information before saving the Employee. 

SubContractors

  • Business Name - This is a Required Field. The Business Name will be the default Display Name for a new Subcontractor. 
  • First Name
  • Middle Name
  • Last Name
  • Status - Active/Inactive. Inactive employees will be hidden by default
  • Display Name - This is a Required Field. This is the name that will show under any menu associated with the Subcontractor, and will be the display name sent to QuickBooks if using the addon. You cannot have multiple Subcontractors with the same Display Name. An Employee cannot share the same Display Name as a Subcontractor.
  • Phone - Enter the phone number for the Subcontractor in your preferred format
  • Email
  • Net Terms - Choose the default Net Terms associated with this Subcontractor
  • Address
  • Associated Subuser - Choose the Subcontractor's Pruvan subuser name. If you don't have a subuser created for this subcontractor yet, you can click Create New to open a window where you can enter their user information before saving the Subcontractor.  

 

Navigation

The Employees and Subcontractors pages in your Pruvan account share the same menu. See details below.

Menu

  • New - Create a new Employee/Subcontractor Entry
  • Edit - Edit the selected Employee/Subcontractor
  • Sync With QuickBooks - Sync your QuickBooks and Pruvan employees or subcontractors. This will copy all of your entries in Pruvan to QuickBooks, and import your employees from QuickBooks into Pruvan.  This will only sync data for the page that you are on, so if you want to sync both Employees and Subcontractors you should go to each page and then click the Sync button.
  • Mark Inactive - This will make the selected Employee/Subcontractor as inactive. Resources cannot be deleted but can be changed to Inactive to hide them in the list. 
  • Show/Hide Inactive - This button will either show or hide employees/subcontractors listed as Inactive. 

 

Setup Tips

  • If you plan on using the QuickBooks Addon, we suggest creating your Employees and Subcontractors/Vendors in your QuickBooks account first. QuickBooks can save additional fields that Pruvan does not use, so you may want to enter your data into QuickBooks and then use the Sync with QuickBooks buttons in your Pruvan account to import your information.
  • Pruvan Employees are mapped to QuickBooks Employees under the Payroll menu
  • Pruvan Subcontractors are mapped to QuickBooks Vendors. Find this information under the Expenses menu in your QuickBooks Online account. QuickBooks Vendors can be made into Subcontractors by adding 1099 information
