Navigating PCR Forms

Creating PCR forms is a great way to gather more than photos from the field. You can ask questions about the properties and/or about the jobs being completed at the property. Photo requirements can be added to the questions to ensure the correct photos are collected at the property. 

To access the PCR forms page to build your own forms go to Admin->General and then scroll down to PCR Forms. 

Adding a PCR form to your PPW Account

Click "Add PCR Form" at the top of the page to start creating your own form.

  1. Name your PCR form based on the type of data you are collecting
  2. The Form ID will auto-generate based on the Form Name
  3. If you would like this PCR form to be required automatically when added to the work order, set this option to Yes
  4. This will allow the user to copy the answers from the previous work order of the property.
  5. This is a legacy feature that you can keep turned off. You are able to set photo requirements directly in the form
  6. This option will make the form required when added to new work orders for your Clients
  7. The Pruvan settings are specific to users that use Pruvan to collect the data in the field. If you have a Pruvan account and would like your PCR forms to relay to Pruvan Projects please open a ticket by emailing helpdesk@pruvan.com
  8. Connects the PCR form to Third Parties
  9. Once you are ready to add the PCR form to your orders, you will need to activate the form
  10. You can upload a PDF to your PCR form and map the information collected from the PCR form to the PDF
  11. Add filter to decide when the PCR form popluates on work orders based on the Client Company, order WorkType, Customer on the order, Loan Type on the order and work order State

Once you have filled out this information make sure to Save the form.

Add Questions to your PCR Form

After the form has been save you can click the Edit Questions button to start adding your questions as well as photo requirements.

Once you are in the Edit Question section of the PCR form you will see some options at the top of the page:

  1. The Forms List button will just send you back to your list of PCR forms
  2. The New Question button will allow you to create new questions for your PCR form
  3. Preview will show you what the PCR form will look like when it is being filled out
  4. The Default Show All button will set all your questions to default show. This will make all questions appear for the form

When you are ready to start adding the questions to your PCR click the New Question option and you will see the following screen:

  1. Select the question type. There are Ten different Question Types:
    • Check Boxes - Check boxes will allow you to create a question were the user can select multiple.
    • Comment Boxes - This will allow you to put in a text field for comments. This will work for descriptions and any additional comments.
    • Drop down Menu - The drop down type will allow your to create a question with a list of answers in a drop down menu.
    • PPW Field - The PPW field Type will allow you to pick from a list of PPW fields and will automatically populate an answer for the question depending on how it is answered in that PPW field.
    • Radio Boxes - This field will allow you to create multiple checkboxes but the user will only be able to select one.
    • Text Boxes - Will allow you to set a text box similar to the comment box option.
    • Title - The title type can be used to title a different section of the PCR form.
    • Date - Sets a date field
    • Numeric - This Question Type will only select numbers for the answer. Question Example: How many rooms are in the Property.
    • Photo - Photo rules only accept photos for the answer. Question Example: Please provide photo of the street address.
  2. After you select the question type you must then enter the question. This will determine how it appears on the form when the user is completing it.  If you enter “Are you able to locate the property?”, the question will appear on the form exactly as you have typed it. Some question types such as radio and check boxes require you to create Answer Options. These will create the options that the vendor can choose from in the form.
  3. The Question Desc/Help allows you to add extra information that is separate from the question itself. That can help ensure that the users in the field collect the correct data when completing the PCR forms.
  4. The Question ID is auto generated based on the Question entered. Once the question ID is created we do not recommend that you change it. You can change the question but not the question ID as that can break any Action Triggers or any mapping may be completed between the form and PDFs.
  5. Insert After allows you decide where the question should live in the form.
  6. Default Show ensures that the question is always visible to be answered.
  7. Default Required ensures that the question is answered to ensure information is not missed while the PCR form is being completed in the field or online.
  8. Clone Previous Answer looks back at the answer provided the last time the PCR form was filled out at a property and auto populates that answer on new PCR forms filled out at the same property. A good example for using this feature is for Pools at a property. The pool is most likely always going to be at the property so there is no reason that the user in the field needs to answer yes every time they go to a property.
  9. Make the question Active so it is visible and ready to answer in the PCR form.
  10. Photo Rules allow you to enter a minimum and maximum number of photos that need to be take on each question. If you would like to make the photo requirement option you can enter a 0 as the minimum requirement.

Field Rules

These rules allow you to dictate what answers can be provided by the users in the field.

A great use case for this feature would be if your answer type is set to Numerical and you do not the user in the field to enter a number that is too high or to low/

Action Rules

These rules allow you to determine which questions are enabled in the PCR form based on the answers provided on other questions.

Set the Operator based and the answer Value and then you can select which question or questions you would like to be enabled. An example of this would be if Garage at the property is Equal To Yes then the Action would be to enable questions about a Garage.

Validation Rules

You can set validation rules to validate the answers provided and trigger a review of the PCR form on the work order or the work order itself.
