How to configure the Cyprexx Import

Please follow the steps below to set up the Cyprexx import:

Important NOTE: Be sure to set up Cyprexx as a 'Client Company' first - Click HERE for instructions

  1. Hover over the Admin tab
  2. select the General option
  3. Select Auto Import - Work Orders under the Application Options

  4. Press Setup New Import
  5. Choose the option of Cyprexx - API in the "Import From" dropdown menu
  6. Select the client company you want to utilize for these orders in the Client Company drop-down menu
  7. Enter the login name that you use to log into Cyprexx's system with
    *Note that this import does not require a password, we will authenticate this import later
    The following options (8-15) are optional and do not need to be set
  8. Alert Email - If an email address is entered here you will receive an email when orders are ready to be imported or if there is an error with the import itself
  9. Friendly Name - This is another way for you to reference this import, and this will only display on the import queue screen
  10. Skip Comments - If this option is set to yes, then any comments present on the order in the client's system will NOT import, if this option is set to no then any comments present on the order in the client's system will import into PPW
  11. Skip Line Items - If this option is set to yes, then any line items present on the order in the client's system will NOT import, if this option is set to no then any line items present on the order in the client's system will import into PPW
  12. Set Category - If you set a category here, then when orders import they will import with this category associated to the order
  13. State Filter - If a state is selected here, only orders for that state will be imported into PPW
  14. Discount % for this Import - If a discount percentage is entered here, then any orders imported through this import will have this discount percentage present on the invoice page
  15. Set the "Active" option to "Yes" 
  16. Click the "Save" button

Now, after the save button is clicked, you will see that the form to set up in this import is still open! And you will notice that there is now a "Cyprexx Connect" button and a message, which will be explained in a moment.

Go ahead and click the button and you will be directed to a new window/tab.

If you are currently logged into Cyprexx in this browser, you should see a message that confirms that PPW is now connected to Cyprexx!

If you are not currently logged into Cyprexx, you will be taken to the login page for Cyprexx, log in with your Cyprexx credentials, ad then you should see a message that confirms that PPW is now connected to Cyprexx!

Now, there are a few important things to note about the Cyprexx import:

  • You probably noticed the message that reads "Repairs Cannot be auto Imported" this means that any order that is classified as a repair order in Cyprexx will not import into PPW
  • If you have currently assigned orders assigned to you in Cyprexx, those orders will not import into PPW
    • This is because this is an API import, and what this means is that Cyprexx will send the orders to PPW, so when Cyprexx assigns the order to you, they will also send the order to PPW, and this means any orders assigned to you prior to the import being set up will not be imported as Cyprexx has not sent them to us
  • As mentioned in the above note, this is an API import, meaning the Cyprexx sends the orders to PPW, so if an order is not importing, you will need to contact Cyprexx to see why they did not send the order to PPW
    • Do note that it can take 20-30 minutes for the order to show up in the import queue inn PPW once the order is assigned to you in Cyprexx
  • Lastly, after the import is set up, if you go to the import queue page in PPW, you will notice that the "Check Now" button is greyed out. This is by design
    • As mentioned previously, Cyprexx sends the orders to PPW, so as soon as PPW receives the order from Cyprexx it will show in the import queue as ready to be processed, so the check now button is not applicable to this import due to how the import works behind the scenes!
