Surveys and PPW Work Orders

This article will go over how surveys can work with your PPW work orders.  Each section will be marked as appropriate for people who are admins in PPW and those who are contractors in PPW.

The Ignore Bid Task Option

PPW Admins and Contractors

Setting this option to Yes will remove the photo task on any work order imported that has a survey attached to it.  This, in conjunction with another configuration option, will make it so that the only way to take photos in the app is through the survey.  When this is enabled, and there is no survey, a photo task will be created based on the Work Order Type.  To enable this follow these steps:

  1. Log in to Pruvan.com
  2. Click on Integrations
  3. Select your PPW Enhanced Integration
  4. Click Edit
  5. Set Ignore Bid Task to Yes
  6. Click Save
  7. Complete a Full Refresh to update your current projects

Add a Survey to Every Work Order Imported from PPW

PPW Admins and Contractors

To add your survey(s) to every project that is imported from your integration, follow these steps:

  1. Log in to Pruvan.com
  2. Click on Integrations
  3. Select your PPW Enhanced integration
  4. Click Edit
  5. Enter the survey template ID in the Survey Tasks field
    • Be sure to include the correct version number with the ID
    • If you would like to include more than one survey, simply separate them with a comma and a space
    • This option supports Global Surveys
  6. Click Save
  7. Complete a Full Refresh to update your current projects

Add a Survey based on PPW's Work Type

PPW Admins

To define Survey Tasks for a specific Work Type in PPW, follow these steps:

  1. Login to PropertyPresWizard.com
  2. Click on Admin
  3. Click on Work Types
  4. Click on an existing Work Type or create a new one
  5. In the Work Type field, enter a space after the name
  6. Enter the survey template ID in square brackets
    • Be sure to include the correct version number with the ID
    • If you would like to include more than one survey, simply separate them with a comma and a space
    • This option supports Global Surveys
  7. Click Save
  8. Complete a Full Refresh to update your current projects

Create a Pruvan Survey from a PPW PCR

PPW Admins

This will allow you to create a 1-1 survey for all of your PCRs in PPW.  When you are finished, every work order you create in PPW that has a linked PCR assigned to it will generate the linked survey as a task in the Pruvan project.

Verify that your Survey Namespace is set correctly

  1. Log in to PropertyPresWizard.com
  2. Click on Admin
  3. Click on Settings
  4. Scroll down to the Pruvan section
  5. Verify that your master username is in the Survey Namespace field
  6. Click Save, if you've made any changes

Migrate the PCR to a Pruvan Survey

First, you will need to export your PCR to Pruvan and set up the Survey template.

  1. Log in to PropertyPresWizard.com
  2. Click on Admin
  3. Click on PCR Forms
  4. Locate the PCR you want to migrate
  5. Click on the Pruvan JSON button
  6. Select all of the text and copy it
  7. Log in to Pruvan.com
  8. Click on Surveys
  9. Click on New Survey Template
  10. Click on Import JSON in the upper right
  11. Paste the JSON text in to the window
  12. Click Done

Edit the Survey

  • You will need to edit the survey template so that it is suitable for your needs
  • You can rearrange all of the questions as needed, change the answer types, add additional control questions, add photo requirements, and add answer triggers
  • Ensure that you do NOT alter the ‘ppwid__1234__’ ID number at the beginning of all of the question IDs, as well as the survey template ID
    • These ID numbers are how PPW maps the answers back to your PCRs

Publish the Survey

  1. Click Save
  2. Select the new survey template
  3. Click Publish
  4. Note the version number of your survey (mySurvey-v1)
  5. Return to PropertyPresWizard.com
  6. Click on the PCR you have migrated
  7. Enter the version number in the Pruvan Survey Ver. # field
  8. Click Save

Your survey is now ready to use.  As long as the PCR is assigned to a work order when that order is sent to field it will load the linked Pruvan survey as a survey task on the device.  If the PCR is attached to the work order after it has been sent to field, then you will need to do a Full Refresh.
